Privacy Policy

Privacy policy of PostOffices.co.nz

1. Who is responsible

The controller of your personal data is SwissOps Ltd., Sur-la-Croix 147, CH-1020 Renens ("we"), the publisher of PostOffices.co.nz. For any question about your data or to exercise your rights, write to us at info@postoffices.co.nz or use the contact form.

2. In brief

  • The site is used without an account: we do not ask for your name or your email address to use it.
  • We do not sell your data.
  • Advertising and audience measurement cookies are set only with your consent, which you can withdraw at any time with "Cookie settings", at the bottom of each page.
  • We process the technical data of your visits, the messages you send us and, if you use "Near me", your approximate position.

3. The data we process, why, and on what basis

Your visits. As with any website, our server receives your IP address, the date and time, the page requested, the page you came from, your browser and your system. This data is used to run the site, to keep it secure and to fight abuse, on the basis of our legitimate interest (Article 6(1)(f) GDPR). It is recorded in the server logs, kept for two months at most.

Your messages. When you write to us with the contact form, we receive your name, your email address, your message, the date and your IP address. We use them to reply to you and to correct the directory, on the basis of our legitimate interest. They are kept for three years at most after our last exchange.

"Near me". This search works only if you allow it in your browser. It then sends our site your position rounded to about one kilometre, used only to find the nearest places; it is recorded only in the server logs, with the address of the search.

Our editors' accounts. The people who update the directory have an account: name, email address, password stored in encrypted form, dates and IP addresses of logins and changes. This data is used to manage access and to keep the history of changes, on the basis of our relationship with these people and of our legitimate interest. It is kept as long as the account exists; when the account is deleted, the history of changes is anonymised.

4. Cookies and similar technologies

Necessary, set without your consent because the site cannot work without them: a session cookie, a security cookie that protects the forms, and the cookie that keeps your choice about cookies (twelve months at most).

Advertising (Google AdSense), with your consent: the site is funded by advertising, served by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). In the European Economic Area, the United Kingdom and Switzerland, your consent is requested on your first visit by Google's consent management tool, which complies with the IAB's Transparency and Consent Framework. If you accept, Google may use cookies and advertising identifiers to show personalised advertising and to measure its effectiveness. If you refuse, the advertising is not personalised and Google does not use your data to build an advertising profile.

Audience measurement: Google Analytics (Google), only with your consent; without consent, its script is not loaded. WireBoard, our audience measurement tool hosted in the European Union, counts page views without a cookie or an identifier and without keeping your IP address, which requires no consent; with your consent, it also uses a cookie to recognise a returning visit.

Protection of the contact form: Cloudflare Turnstile (Cloudflare, Inc., United States) checks, on the contact page only, that you are not a robot. It processes your IP address and technical information about your browser, without using them for advertising, on the basis of our legitimate interest in protecting the site.

Maps: the maps on the pages are drawn in your browser with OpenStreetMap data; their elements are loaded from the servers of OpenFreeMap, which receive your IP address, set no cookie and state that they do not record IP addresses. The map of New Zealand on the home page is drawn by our site itself.

You can withdraw or change your consent at any time with the "Cookie settings" link at the bottom of each page, and delete cookies in your browser's settings.

5. Who receives your data

  • Our hosting provider, established in the European Union, which hosts our servers and our data.
  • Our helpdesk software, which receives the messages from the contact form.
  • Google, Cloudflare, WireBoard and OpenFreeMap, for the services described in point 4.
  • The authorities, when the law requires it.

Our service providers process your data on our behalf and on our instructions; Google also acts as an independent controller for personalised advertising. We do not sell or rent your data.

6. Transfers outside the European Union

We are established in Switzerland, which the European Commission recognises as providing an adequate level of protection. Google and Cloudflare may process data in the United States: they are certified under the EU-US Data Privacy Framework (and its Swiss extension), and the transfers are also covered by the European Commission's standard contractual clauses.

7. Your rights

You can ask for access to your data, its correction or its erasure, the restriction of its processing, and its portability; you can object to processing based on our legitimate interest, and withdraw a consent you gave at any time, without affecting what was done before.

Write to us at info@postoffices.co.nz; we reply within one month and may ask you to prove your identity. If you believe your rights are not respected, you can lodge a complaint with the Office of the Privacy Commissioner (privacy.org.nz) or the data protection authority of your country of residence, or with the Federal Data Protection and Information Commissioner in Switzerland (www.edoeb.admin.ch).

8. Security

The site can only be reached over an encrypted connection (HTTPS). Access to our servers and to the administration is restricted to the people who need it, passwords are stored in encrypted form and our systems are kept up to date.

9. Minors

The site is not aimed at children and asks them for no data. A minor under fifteen should write to us only with their parents' consent.

10. Changes

We may change this policy, in particular if our services or the law change; the version in force is the one published on this page.
